(“Flight Despatch”, “we”, “our”, “us”), we respect the privacy of the individuals and organisations who visit our website, use our services, or otherwise engage with us in the course of our business operations. We are committed to safeguarding the information shared with us. This Privacy Policy explains how information is collected, used, retained, and protected in connection with the use of our website, services, and systems.
1. Information we collect
We collect only such information as is necessary to deliver our services and meet legal or operational requirements, including but not limited to:
- Contact and address details of senders and recipients
- Shipment, booking, and transaction-related information
- Delivery confirmation details, including OTP-based verification and system-generated records
- Identity verification details in specific cases such as Cash on Delivery (COD), compliance, or regulatory requirements
- Official communication records relating to service requests, deliveries, or operational coordination
2. Purpose of use
Information collected is used strictly for legitimate business purposes, including but not limited to:
- Processing, handling, and completing service requests
- Delivery verification and proof of delivery
- Operational communication and service-related updates
- Compliance with applicable laws, regulations, customs, and security requirements
- Internal records, audits, investigations, and dispute resolution
Flight Despatch does not use personal information for advertising, marketing, or promotional activities.
3. Identity verification (KYC)
Where required — including but not limited to Cash on Delivery (COD) shipments, regulatory compliance, or security verification — Flight Despatch may request valid government-issued identification.
Such information is collected only when necessary and is used solely for verification, compliance, proof of delivery, or internal record purposes, in accordance with applicable laws and our internal policies.
4. Information sharing
Information may be shared on a need-to-know basis, including but not limited to, with:
- Authorised service partners, vendors, and delivery associates
- Authorised technology and systems partners engaged in supporting our operational and service-delivery functions
- Government, customs, law-enforcement, or regulatory authorities, where required by law
Flight Despatch does not sell, rent, trade, or commercially exploit personal information under any circumstances.
5. Data security & retention
Flight Despatch implements reasonable administrative, technical, and operational safeguards to protect information against unauthorised access, misuse, alteration, or disclosure.
Information is retained only for as long as necessary — including but not limited to operational, legal, audit, or regulatory purposes — after which it is securely disposed of in accordance with our internal policies and applicable laws.
6. Amendments
Flight Despatch may modify, update, or revise this Privacy Policy at any time, without prior notice.
The version displayed on the website, along with the “Last Updated” date, represents the current and applicable Privacy Policy, and applies to all users, customers, clients, vendors, partners, and other stakeholders interacting with Flight Despatch.
7. Mobile application
Our mobile application (“Flight Despatch Courier”) is used by our operational staff and, where enabled, authorised customers. It collects certain information solely to provide its courier-operations and workforce features:
- Location (precise) — collected only while the app is in use, to geo-tag deliveries, pickups, and staff attendance against authorised office geo-fences. The app does not track location in the background.
- Camera & photos — used to capture proof-of-delivery images, attendance selfies, and an optional profile photo.
- Account information (name, employee/login ID, email, phone) — used to authenticate the user and operate the account.
- Biometric data (fingerprint / Face ID) — used only to unlock the app on the user's device. The check is performed by the device's operating system; the app never receives or transmits the biometric template.
- Employee & HR information (for staff users) — attendance records, leave, and access to payroll documents such as payslips; and, where provided for employment or statutory compliance, identity and KYC details (for example government-issued ID, PAN, or bank details).
- Shipment, delivery and Cash-on-Delivery (COD) records — including recipient verification details — used to complete and confirm consignments.
- Device push token — used to deliver operational notifications to the device.
- In-app messages — text and voice notes exchanged between staff members through the app’s internal chat are stored on our servers to provide the messaging feature.
- Microphone — accessed only when a staff user chooses to record a voice note to send within the in-app chat; it is never used to record in the background.
- Diagnostics — anonymised crash logs and app-stability data (collected via Google Firebase Crashlytics) to detect and fix technical issues.
Push notifications are delivered through Google Firebase Cloud Messaging / Expo, crash and stability diagnostics through Google Firebase Crashlytics, and map tiles are served by OpenStreetMap; these providers process only the minimum data needed for that function. All data is transmitted over encrypted (HTTPS) connections and is not sold or shared with third parties for advertising. Information is used only for the app’s stated functionality. Users may request deletion of their data via the Contact Us section of this website.
